Medicare Options Cheat Sheet Campaign

Who it's for

Insurance agents who sell Medicare plans and want a lead-magnet mailer that keeps working without new setup for every batch of prospects. Where the T65 Birthday Campaign waits for a specific birthday, this play mails whoever you add, whenever you add them.

The play

Build the postcard once - a plain-English "Medicare Options" cheat sheet on the image side, a short message on the back, and a QR code that plays an audio version of the same cheat sheet. Point a Days After Added campaign at an empty mailing list. From then on, every contact you upload to that list gets the card automatically. No campaign rebuild per batch.

The cheat sheet does the selling. It's genuinely useful on its own, which is why it earns a spot on the fridge instead of the recycling bin.

Expected signals

  • Reference-style mail is kept rather than discarded, so response often arrives weeks after delivery
  • QR scans skew toward prospects actively comparing plans - treat a scan as a warm lead
  • Because the list starts empty, every send is a batch you chose; spend scales with uploads, not with time

Step-by-step

Send method: Automated Campaigns → Days After Added - fires for each contact once, shortly after they land on the list.

1. Complete the Branding Builder

Set up your Branding Builder first. It supplies the agent name, phone, and company that the replacement variables on the card fill in.

2. Upload the cheat sheet image

Go to Images in the left navigation, click Upload, and add your cheat sheet artwork as an Image Template.

Designing the cheat sheet

Keep the image side to one page of neutral, plan-comparison information - Parts A through D, supplements, and what each one actually covers - with no plan-specific pitch. That restraint is what makes it worth keeping. Check the layout against the print specs and safe zones before uploading.

3. Write the message side

Create a Message Template that explains what the card is and points at the audio version:

4. Point the QR code at the audio version

Record yourself reading the cheat sheet aloud - a few minutes is plenty - and host the file somewhere publicly reachable. Enable the QR code on the Message Template and set its destination to that file. A scan opens the recording directly, so the prospect hears the cheat sheet instead of landing on a form.

5. Create a blank mailing list

Create a new mailing list and add no one to it. Name it something like "Medicare Cheat Sheet." The empty list is the point - it's the intake hopper the campaign watches.

6. Set up the campaign logic

  1. Go to Automated Campaigns in the left navigation.
  2. Click Add Automation.
  3. In the Add Automation modal:
    • Select What To Send: 4×6 Postcard.
    • Select An Image Template: your cheat sheet artwork.
    • Select A Message Template: the message you wrote in step 3.
    • Select A Mailing List: the blank "Medicare Cheat Sheet" list.
    • Sending trigger: Days After Added, set to fire on day 0 or day 1.
  4. Click Save.

7. Upload your prospects

Now upload your list into the blank list. The campaign picks up each new contact and mails them. Every future upload to this list runs the same way - the setup above is done once.

tip

Because the trigger is Days After Added rather than a date, you can drip prospects in deliberately. Upload 200 this week and 200 next week to spread the spend without touching the campaign.

Pitfalls

  • Uploading before the campaign exists. Days After Added fires on contacts added after the automation is live. Build the campaign first, then upload - otherwise the first batch sits there untouched.
  • Skipping the Branding Builder. The replacement variables on the card resolve to your branding details. Leave it incomplete and the card mails with gaps where your name and phone should be.
  • A QR destination that isn't publicly reachable. If the audio file sits behind a login or a link that expires, the scan dead-ends. Test the URL in a private browser window before you send.
  • Treating the cheat sheet as compliance-checked. Medicare marketing is regulated, and the rules vary by plan type and carrier. Whatever you mail is your responsibility - clear your creative through your carrier or compliance department before the first send.
  • Leaving enrolled clients on the list. Contacts stay on a mailing list after their send completes. Move them off once they enroll, or use duplicate prevention so a re-upload doesn't mail them twice.
