Call Logs & Lead Reports

What it is

Every caller your AI Receptionist talks to is a lead, and every one of them has been promised a call back. So after each call, thanks.io tells you about it straight away and keeps a full record of it:

  • A text with the lead
  • An email with the caller's details and the transcript
  • A dashboard notification
  • An entry in Call Logs
  • A card on the Lead Board

Lead reports after every call

When a call ends, you get:

ReportWhat's in it
Text message"New lead from your AI receptionist - call them back:" with the caller's name, the number to call them back on, what they want, and a link to the call
EmailSubject "New lead from (caller) - call them back", with the number they called from and when, their name, callback number and reason for calling, the AI summary, the transcript, a link to the recording, and a link to the call in your call log
Dashboard notification"Your AI receptionist took a call from (caller). Call them back." Click it to open the call

The email and the dashboard notification are sent for every call. The text is sent only when Text on QR Scan is switched on under Settings → Profile and a Phone Number is saved there. See Account Notifications.

For a sub-account's number, the reports go to the sub-account's own email and phone, set when you edit it under Settings → Sub Accounts.

Test calls you place from the AI Receptionist page don't send reports.

Call Logs

Open Phone & Calls → Call Logs to see every call to your AI phone number, newest first. Like the AI Receptionist page, it follows the sub-account switcher: while a sub-account is active, it shows that sub-account's calls.

Each row shows the Time, the Caller (their number, or Unknown caller), the Duration, and the AI Summary of the call. Test calls are marked with an outgoing-call icon.

To narrow the list:

  • Type in Search calls to search by the caller's number or the summary.
  • Pick From and To dates.
  • Click Clear filters to see every call again.

Call details

Click a call to open its details:

  • The time, duration, and the number that was called
  • A badge for the caller's overall mood when the AI could tell (for example Positive caller), and Test call for a test call
  • Summary - the AI's summary of the call. It's added a minute or two after the call ends.
  • Recording - play the call, or download it
  • Transcript - the conversation line by line, the receptionist on one side and the caller on the other

If the number is set to Don't record calls, there is no recording or transcript, and the details say so. The summary and caller details are still kept.

Call history stays in Call Logs after you release a number.

Callers on the Lead Board

Every caller also gets a card in New on the Lead Board (Reports → Lead Board), next to the people who scanned the QR codes on your mail, so you can work both kinds of lead in one place.

  • There is one card per caller per AI number. When the same person calls again, their card's call count, latest call, and last call time update, and the card stays in whatever column you put it in.
  • A caller card shows the caller's name (or their number, if the receptionist didn't get a name), what they called about, the time of their last call, how many times they've called, and how the latest call ended (for example AI handled or Voicemail). A phone icon beside the name marks it as a caller, and it has no Street View photo.
  • Click the phone number on the card to call them. If they gave a different number to call them back on, a Callback link calls that one.
  • Choose View call from the card's menu, or in its notes panel, to open the latest call.
  • Add notes and move the card through New, Contacted, Follow Up, and Done as with any other card.

Caller cards don't fire Lead Board stage webhooks. Only cards for scanned mail do.

Limits & gotchas

  • Test calls appear in Call Logs but don't send reports or add a Lead Board card. Demo calls placed before you buy a number aren't saved anywhere.
  • The receptionist is AI, so a name or detail in a report can be misheard. When the call was recorded, check the transcript or recording before you call back.
  • If you reply STOP to a thanks.io text, your carrier blocks further texts to that number and Text on QR Scan is switched off, which stops lead texts too.
